EndNote 20 Assisting You in Research: Adding PDF Files to EndNote

This guide covers the main functions of Endnote that will help you with finding resources, creating bibliographies, and generating properly-formatted citations.

Sorry to Inform You

Unfortunately EndNote 20 and any new versions moving forward, are no longer available for free for APU students and Faculty. 

Options: 

You could either pay for an EndNote license (currently EndNote 21) for $275, $150 for a student license) or switch over to another Citation Manager software like the free Zotero

What about expired Endnote license? To upgrade from EndNote 20 to the new EndNote 21 license, you must do so from within your expired EndNote program in order to retrieve your My EndNote Library references.

Download PDFs to Your Device

Before you can connect a PDF file with a reference in EndNote, you have to find and upload the file to EndNote, which is done outside of EndNote.  Here are the steps to do this.

Assume for this example that you are enrolled in Phil 340 Concepts of Human Nature in order to meet the undergraduate upper division writing intensive course requirement.  You are writing a paper on Greek ideas about human nature, and have done a search in one of the University Libraries' online databases, Academic Search Premier.

1. Search for articles.

This returns many results. 

2. Filter the results so that

  • Only those that are peer-reviewed are returned. Since this is an academic paper, generally only peer-reviewed journal articles should be used.
  • Only those with a full-text file available appear. You cannot attach a PDF file if there is not one available.

3. Download articles of interest. You can add the bibliographic information to EndNote, as described here and then get the .PDF.  There are two quick ways to do this.  Here is one of the search results:

  • You can download the .PDF file directly to your computer.
  • Click on the folder icon to the far right of the article title.

  • This will add the article to your folder. When you finish adding articles to the folder, you can export them.  This can be done, for example, by sending the folder contents to yourself via email. Then you can save the PDF files from the email messages to your computer. 

At the end of this process, you have one or more articles on the topic for your paper. You are now ready to go to EndNote to connect the articles with their bibliographic records.

Add a PDF File as an Attachment to an Item in EndNote

Importing a file into EndNote that will be associated with a specific reference is easy.  Once you have the article bibliographic record in EndNote,

1. Click on the article to which you want to add the PDF document. 

2. Click on "References in the top menu bar

3. Click on  "File Attachments."

 

4. Click on "Attach File".

 

Alternatively

1. Right-click on the article itself

2. Click on "File Attachments" as shown above.

3. Click on "Attach File" aas shown above.

4. Select the PDF document for the reference and upload it. EndNote sees this as a "link"
 to the file. 

You can read and use the PDF document right now, or you can come back to it later by

a. Clicking on the reference

b. Choosing "File Attachment"

c. Clicking on "Open File".

While the main type of full-text documents that you will see are PDF.files, other file types are possible..
